Compliance Automation: Eliminating Fines

The challenge

Before this system, compliance was manual. Workforce coordinators verified work authorization documents for thousands of crew members, often across five festivals running at the same time. Every festival brought a different mix of nationalities, document types, and edge cases. Volume made thorough checks nearly impossible. The cost of a missed check was high.

Under Dutch WAV rules, employers who fail to verify work authorization properly face fines from €10,000 per violation. With thousands of workers across multiple festivals, exposure ran into hundreds of thousands of euros per season. Beyond the fines, repeated failures put future event licenses at risk. The compliance process had to handle 195 nationalities, each with its own document rules.

Festival operations are fast. Crew arrives, documents need checking, decisions need to happen in real time. The manual process was slow and error-prone. Bottlenecks formed at the worst moments. Human error in document review created gaps that only showed up later in audits.

What we built

AY Automate built a conversational AI verification system that turned compliance from manual document review into an automated workflow. The system walks workers through verification through a chat interface, collects documents in real time, and validates them. The AI handles the first pass. Edge cases get flagged for human review. A full audit trail is recorded automatically.

At the core is the labeling engine. It maps nationality, document type, and regulatory requirement to a compliance decision. OpenAI and Anthropic Claude models interpret documents, check validity, and apply Dutch WAV rules consistently. Human inconsistency between coordinators and festivals goes away. One standard, applied the same way every time.

Dashboards and audit trails

The platform has real-time dashboards. Operations managers see compliance status across every festival at the same time. Every decision, document submission, and check is logged into a full audit trail, which matters during regulatory inspections. The dashboard layer is built on Next.js and Supabase and gives instant access to status, resolution rates, and exception reports across the whole operation.

Team

AY Automate placed an AI engineering team with compliance and conversational AI experience directly into the client's workflow. The team shipped a working V1 inside one sprint, from scoping to live. The client got senior AI engineering without building an in-house team.

The stack

Next.js, Supabase, OpenAI, Anthropic Claude.

The stack is modern web architecture for speed and reliability. Supabase handles real-time data and auth. Next.js powers the interface for both the workers completing verification and the managers watching the dashboard. The two-model verification setup combines model strengths for documents and rules.

Results

The numbers came in fast. 80%+ instant resolution. Most verifications finish without a human in the loop. The system handled workers from 195 nationalities across 5 simultaneous festivals with 100% audit coverage.

The business impact went further. The client's own end-clients, the festival organizations, were, in the client's words, "really amazed" by what the system could do. Off the strength of the V1, the client got a proposal for 18 events in 2026. The client called the work "amazing" and the project rolled into a long-term partnership.

What we learned

• AI verification scales across simultaneous operations. 195 nationalities and varied document rules can be handled at volume without giving up accuracy.

• A chat interface reduces friction in compliance. Workers complete verification faster and the data captured is more complete.

• A full audit trail flips compliance from a risk into a sales asset. The client won new business because their verification process was visible and verifiable.

• Two models is better than one for verification. OpenAI plus Anthropic Claude combines strengths for document interpretation and rule application.

• Embedded engineers remove the hiring lag. Specialist AI talent shipped a production system in one sprint.
