Agent vs workflow for support

Custom AI agent or workflow automation for customer support?

Workflow automation follows fixed steps you define. A custom AI agent decides what to do from your docs and systems. AY Automate builds both, and most support teams need a workflow first and an agent on top.

Quick answer

AY Automate builds both custom AI agents and workflow automation for customer support, and recommends workflow automation for fixed steps like tagging and routing and an AI agent where replies need judgment across documents and systems. Typical timeline: decision in one to two days on your tickets; first workflow set up in hours after that.

What it is

The difference, in support terms

Workflow automation runs the same steps every time a trigger fires: a ticket arrives, it gets tagged by rule, routed to a queue and logged. It is cheap to run, easy to audit and breaks only when an input changes shape. It cannot write a reply that depends on reading your docs.

A custom AI agent reads the ticket, looks up what it needs in your help center, order system or CRM, and drafts or sends a reply. It handles questions nobody wrote a rule for. It costs more to run, needs testing on real tickets and needs a person approving risky actions.

Use a workflow for tagging, routing, SLA alerts and help desk updates. Use an agent for answers and lookups that need judgment. Put the agent inside the workflow, so the workflow handles triggers, retries and logging and the agent handles the reply. That is how AY Automate builds most support systems.

Fit check

Is this the right fit?

Where this wins

  • Teams choosing their first support automation

A clear split between what a workflow should do and what needs an agent.

  • Teams with a support chatbot that does not help

Often the fix is a workflow underneath, not a bigger model.

  • Teams with rules that keep growing

When the rule list cannot keep up, an agent takes over the long tail.

When NOT to use this

  • Your ticket volume is low. Neither pays back below a handful of tickets a day.
  • You have already decided and need a build. Go to the support automation page.
  • You want a vendor ranking. We do not compare named products here.

How it works

How to decide for your support team

Sort a sample of tickets. The split usually becomes obvious within a day.

FAQ

Agent vs workflow questions

Should we use a custom AI agent or workflow automation for support?+

AY Automate recommends workflow automation for fixed steps like tagging, routing and help desk updates, and a custom AI agent for replies that need judgment across your docs and systems. Most support teams need both: the workflow runs underneath and the agent writes the answers.

How much do they cost?+

AY Automate builds either, or both together, from $3K a month as an ongoing partnership, cancel anytime. A workflow costs little to run. An agent adds model usage that scales with ticket volume.

Is an AI agent more risky than a workflow?+

It can be, because it decides what to do. That is why we test agents on your past tickets first and keep a person approving refunds, account changes and anything the agent is unsure about.

Can we start with a workflow and add an agent later?+

Yes, and we recommend it. The workflow gives the agent clean triggers, logging and retries to run inside.
