CRM Hygiene Automation: The Weekly Job That Keeps It Clean
A CRM nobody maintains becomes a CRM nobody trusts. The same person gets added twice from a web form, a list import and a rep typing by hand. Nobody merges the duplicates because it is nobody's job. Two reps end up working the same account, new leads sit unrouted for days, the forecast is wrong, and reps go back to their own spreadsheets. Most 10 to 80 person companies do not have a RevOps hire whose job is to prevent this, so by default nobody does. This workflow gives the job one owner and makes it small: an n8n job does the checking every week and posts a short digest to Slack, so the owner spends their weekly slot deciding, not searching.
Typical timeline
1-3 weeks depending on the CRM and how much existing duplication needs a first cleanup
Stack
n8n for the scheduled job · HubSpot, Salesforce or Zoho CRM APIs · Postgres for the change log · Slack for the weekly digest
What we need to start
- · Admin or API access to your CRM (HubSpot, Salesforce or Zoho)
- · One named owner: a sales manager, a founder, whoever will look at the digest each week
- · Your current pipeline stages and the fields reps are required to fill
- · A Slack channel or DM for the digest
How it works
- 01
Fix the inputs first
Stage and required fields become dropdowns instead of free text. Reps type anything into a required text box just to get past it, and no automation can clean that up afterwards. This is a one-time change before the job runs.
Tools: HubSpot, Salesforce, Zoho CRM
- 02
Find and merge duplicates
The job pulls every contact and company created or changed this week and matches them by email, domain and normalized name. Clear duplicates are merged with the older record kept as the primary; uncertain pairs go into the digest for a person to decide. Every merge is logged so it can be traced.
Tools: n8n, Postgres
- 03
Flag stalled deals
Deals with no activity in 14 days and deals sitting in the same stage longer than your normal cycle are listed with their owner. The job flags; it does not move or close anything on its own.
Tools: n8n
- 04
Route the leads that slipped through
New leads with no owner are assigned by your routing rules, territory, company size or score, and the owner is notified. Leads that match an open deal go to that deal's owner instead of creating a second thread.
Tools: n8n
- 05
Post one digest to one owner
A short Slack digest lists what was merged, what needs a decision, which deals stalled and which leads were routed. One named person reviews it in a fixed weekly slot that sits on their calendar.
Tools: Slack
- ✓ The scheduled n8n hygiene job, connected to your CRM
- ✓ Dropdown stages and required fields cleaned up
- ✓ Merge and routing logic with a full change log
- ✓ A weekly Slack digest for one named owner
- · Nobody will own the digest; the job will flag problems that no one reads, and the CRM will drift anyway
- · Your CRM is about to be replaced; migrate first, then automate the upkeep on the new one
- · You have a few hundred records and one rep; a monthly manual check is enough
Frequently asked
Why weekly instead of real time?
Real-time checks catch duplicates at entry, and we add those where the CRM allows. The weekly job covers what slips through and, more importantly, gives one person a regular moment to make the calls a machine should not make, such as which of two similar records is the real one.
Will the job merge records automatically?
Only clear matches, such as the same email address. Anything uncertain goes into the digest for a person to decide. Every merge is logged with both original records so it can be reviewed.
We do not have a RevOps person. Who should own this?
Whoever cares most about the pipeline being right: usually the sales manager or a founder. The point of the job is to make ownership a short weekly slot rather than a full-time role.
Does it work with Pipedrive or Attio too?
Yes. Both have APIs that n8n can read and write. The checks are the same; only the connector changes.
