The best CRM consultants in 2026 split into three groups: independent advisors who help you pick a CRM, platform specialists who implement one CRM very well, and automation-first teams who set up the CRM and build the workflows around it. Hiring the wrong type is the most common mistake. A HubSpot specialist will not tell you Dynamics is the better fit, and a selection advisor will not build your lead routing.
This guide compares 9 CRM consulting firms across HubSpot, Salesforce, Zoho and Microsoft Dynamics, with published prices where they exist, what each firm actually does, and a framework to pick the right CRM agency for your team.
Disclosure: AY Automate wrote this guide and ranks itself first. We put ourselves at #1 because we implement the CRM and build the automation on top of it (enrichment, routing, outbound and AI agents) in one team, across several CRMs. If you need a vendor-neutral CRM selection, a top-tier HubSpot or Salesforce partner, or a Dynamics 365 firm, one of the other consultants below fits better, and we say which.
Best CRM consultants: a brief overview
- AY Automate: Best overall for automation-first teams: CRM implementation plus enrichment, lead routing, outbound integrations and AI agents, on HubSpot, Salesforce, Zoho, Pipedrive or Attio.
- CRM Switch: Best for vendor-neutral CRM selection: independent advisors who take no software commissions.
- Aptitude 8: Best for complex HubSpot builds with heavy integration work.
- Hypha HubSpot Development: Best for SMBs that want HubSpot CRM, website and marketing from one shop.
- RevPartners: Best for HubSpot teams that want ongoing RevOps on a monthly retainer.
- Coastal: Best for mid-market and enterprise Salesforce programs.
- Vantage Point: Best for financial services firms on Salesforce or HubSpot.
- Zenatta: Best for companies standardizing on Zoho One.
- Velosio: Best for Microsoft-stack companies running Dynamics 365.

1. AY Automate, best overall CRM consultant for automation-first teams
AY Automate is an AI automation agency that implements your CRM and then builds what makes it useful day to day: lead capture, enrichment, routing, deduplication, outbound sequences and AI agents that update records through the CRM's API. We work across HubSpot, Salesforce, Zoho, Pipedrive and Attio, so the advice on which CRM to use is not tied to one vendor's partner program.
We run the same kind of system for our own pipeline (Attio as the CRM, with n8n, Instantly, HeyReach and Unipile around it), which is why our CRM projects usually include the outbound and data plumbing that other consultants hand to a second vendor. Delivery runs in English, French and Arabic.

Key features
- CRM implementation and migration, scoped on a free call first (CRM implementation services)
- Weekly CRM hygiene automation: dedupe, stalled-deal flags, lead routing and a Slack digest
- Enrichment and outbound wired into the CRM (Clay, Instantly, HeyReach)
- AI agents for pre-call research, lead scoring and CRM updates, with every write logged
- Platform pages for HubSpot, Salesforce and Zoho work
Best for
- B2B teams whose leads come from outbound and need one clean record per account
- Companies moving between CRMs that want the automations rebuilt, not dropped
- Teams in Europe and MENA that want a bilingual or trilingual partner
Pricing
- Custom quote after a discovery call, scoped per workflow
- An embedded engineer who owns your CRM and GTM backlog starts from $60,000 per year, with a 90-day replacement guarantee
Pros
- Implementation and automation in one project, so the CRM is useful on day one
- Multi-CRM, so the recommendation is not tied to a partner tier
- Real outbound and RevOps experience from running our own pipeline
Cons
- Not a certified partner of HubSpot, Salesforce or Zoho, so no partner-tier perks or licence discounts
- Not a pure selection advisor. If you only want help choosing a CRM, CRM Switch is the independent option

How to choose the best CRM consultant
Which CRM consulting firm fits your situation
CRM Switch
AY Automate
Aptitude 8, Hypha or RevPartners
Coastal or Vantage Point
Zenatta
Velosio
1) Have you picked the CRM yet?
If not, separate the selection from the build. A platform partner earns more when you choose its platform, and that shapes the advice.
- If you have not chosen: start with CRM Switch, or ask a multi-CRM team like AY Automate to compare two options against your real workflows
- If you have chosen: go straight to a specialist for that CRM. Our guides to HubSpot agencies, Pipedrive consultants and Attio agencies go deeper on each
2) One-time setup or ongoing operations?
A CRM project ends at go-live. A CRM still needs fields, routing rules and reports changed every month after that.
- One-time setup with a fixed scope: Vantage Point, Hypha or RevPartners' implementation packages
- Ongoing RevOps: RevPartners' retainers, Aptitude 8's RevOps service, or an embedded AY Automate engineer
3) How much automation do you need around the CRM?
Most CRM consultants configure the CRM's built-in workflows well. Fewer connect it to enrichment tools, cold email and LinkedIn platforms, or build AI agents that research accounts and update records.
- If your leads come mostly from inbound forms and the CRM is the main tool: any platform specialist works
- If your leads come from outbound and enrichment: pick a team that builds the CRM hygiene workflow and the outbound integrations together, so records stay clean as volume grows. Our guide to AI lead scoring explains the scoring side
4) Compare total cost over the first year
Published starting prices are not comparable on their own. A $1,500 setup plus a $9,850 monthly retainer is a very different budget from a $15,000 one-off selection project. Ask each firm for a written scope with hours per phase and what happens in months two to twelve, then run a short pilot on one pipeline before migrating everything.
If you want the CRM implemented with enrichment, routing and outbound automation working from day one, AY Automate builds both in one project. See what is included in our CRM implementation services, or book a free discovery call to scope your migration.
FAQ
What does a CRM consultant do?
A CRM consultant helps you choose, set up, migrate to and get adoption on a CRM. The work usually covers requirements, vendor selection, the data model, user roles, workflow rules, data migration, integrations with other tools, training and reporting. Some firms stop at selection, others only implement, and some run the CRM for you on a retainer.
How much does a CRM consultant cost?
Clutch's CRM category lists hourly rates from under $25 to over $300, with most projects starting at a $1,000 minimum. In this list, published starting prices range from $1,000 per month for HubSpot onboarding (Hypha) to $15,000 for an independent selection project (CRM Switch). Ongoing RevOps retainers start around $9,850 per month at RevPartners.
What is the difference between a CRM consultant and a CRM agency?
The terms overlap. "CRM consultant" often means an advisor or small firm focused on selection and setup, while "CRM agency" usually means a firm that also runs marketing, outbound or RevOps work on top of the CRM. Ask what happens after go-live to see which one you are hiring.
How long does a CRM implementation take?
A focused single-hub HubSpot setup can take a few weeks, and RevPartners quotes 14 to 30 days per hub. An independent selection project takes 8 to 12 weeks at CRM Switch. Multi-department rollouts on Salesforce, Dynamics or Zoho One take several months, mostly because of data migration and integrations.
Should I hire a CRM consultant or do it myself?
You can set up a simple CRM yourself if you have one pipeline, few integrations and clean data. Hire a consultant when you are migrating years of records, connecting the CRM to outbound and finance tools, or rolling it out to several teams, because those are the places where self-built setups break.
Do CRM consultants work with more than one CRM?
Some do, many do not. Platform partners (Aptitude 8, Hypha, Coastal, Zenatta, Velosio) focus on one ecosystem. Independent advisors like CRM Switch and multi-CRM teams like AY Automate work across several, which helps when you are still choosing or running two CRMs during a migration.
What is a CRM implementation partner?
A CRM implementation partner is a consulting firm enrolled in a CRM vendor's partner program, such as HubSpot's Solutions Partner tiers or Salesforce's consulting partner program. The tier reflects sales volume and certifications. It is useful evidence of experience, but check references and scope too, since tier does not measure delivery quality directly.
